In 2018, 99 Bikes implemented KeyPay Payroll, a Payroll application, to centralize time and attendance, rostering and payroll for its approximately 1200 employees. The selection responded to issues flagged by Finance Lead James Cassidy, who described the prior payroll platform as unreliable and noted the rostering tools were unable to interpret the General Retail Award accurately. Before KeyPay, 99 Bikes operated multiple separate systems for time capture, rostering and payroll, which caused double handling of data and increased risk of human error.
KeyPay Payroll was configured to manage core payroll processing, automated award interpretation aligned to the General Retail Award, employee time and attendance capture, and roster creation and publishing. Implementation work concentrated on configuring award rules and rostering logic so payroll calculations reflected retail award conditions, and on consolidating employee time records into a single payroll processing engine.
Operational governance centered on the finance team, which drove requirements for reliable award compliance and centralized payroll administration, while store operations retained rostering input for schedule creation. The deployment provided organization-wide coverage of rostering and payroll processes, and was positioned to remove duplication across previously disparate systems.

Operational coverage spanned operational and HR collaboration across state venues serving sport, entertainment, universities, hospitals, and hotels, with processes to collate weekly timesheets and manage payroll enquiries.
Governance and process changes were embedded during rollout, including standardizing onboarding data, working with the IT team to digitize leave requests which enabled 100% accuracy, and identifying data discrepancies during testing to enable a controlled go live. Ongoing operational responsibilities included managing payroll officer workflows, responding to state government and Fair Work audit requests, and maintaining award interpretation rules within KeyPay Payroll.
