For time management, Persolis deployed a FIORI-based leave request solution that was configured to be user friendly and to enforce the university's contract-specific rules while supporting multi-contract encoding for employees with simultaneous contracts. The leave solution was implemented alongside a change management program to align multiple entities on a common process and to ensure end users and managers could adopt the web-based workflow.
Operational scope included HR administration, payroll processing, and hierarchical approvers across the university, with Persolis providing long-term technical expertise and structured knowledge transfer to UCLouvain IT teams. The engagement emphasized building internal autonomy, enabling UCLouvain to maintain and evolve SAP HCM (HR) configurations internally while Persolis continued to act as a specialist advisor for complex technical and regulatory changes.
Governance and rollout combined close stakeholder collaboration, iterative configuration, and adherence to SAP best practices to ensure sustainability through upgrades and legal changes.
