Operational governance accompanied the rollout, with new hire training, staff workload assignment and annual written reviews executed by billing leadership, and close coordination with the finance group on collections and dispute resolution. The project supported invoicing enhancements and process automations led by the Billing Services Manager, and the team coordinated the OnitX ELM rollout alongside a separate conversion effort to ProLaw.

In 2018, AARP implemented OnitX ELM to support Legal Practice Management within its DIS organization. The deployment positioned OnitX ELM as the central application for handling legal workflows, matter intake and case documentation to support legal operations and compliance reporting. The implementation was managed by the Informatics Team and coordinated with DIS Leadership to meet scheduled reporting deliverables.
OnitX ELM was configured to provide matter management, document management, electronic billing and workflow automation capabilities that are typical for Legal Practice Management deployments. The Informatics Data Analyst, Program Manager I, was responsible for creating, revising, maintaining and disseminating reports by deliverable dates set by DIS Leadership, and for providing on call end user support on a rotational schedule. The role also performed system testing and technical support related to the OnitX ELM environment.
The implementation included operational integration points with Avatar for KPI reporting, the electronic health records systems, timekeeping systems and other DIS software, with KPI reports run from Avatar in concert with an ONIT reporting analyst. Testing and reporting workflows were coordinated to validate cross system data flows and to ensure leadership visibility into legal and compliance reporting. Operational coverage focused on DIS and DIS Leadership as primary stakeholders.
Governance centered on scheduled report deliverables driven by DIS Leadership and on the Informatics Team providing ongoing system support and testing. Workflows were formalized to route KPI production through Avatar and OnitX ELM reporting processes, with the Informatics Data Analyst acting as the primary internal custodian for report maintenance and distribution. Configuration, testing and reporting responsibilities were explicitly embedded into the Informatics Team operational model.
